    CSI’s Camp Management module is designed to allow you to enroll multiple children into multiple weeks of camp programs and pay for them all at once. It includes the ability for you to schedule the various activities that campers will take part in during the day, as well as various electives that they can choose to participate in before, during, or after the camp day. With this module, you can eliminate all confusion from managing your camps and know where everyone is and who they are with at any point in any day.

Setup Options - There are several different levels available to you in the setup. First, you have the Fiscal Camp, which encompasses your entire camp ‘season’. All enrollments are tied to the Fiscal Camp, and this is how volume and sibling discounts are automatically calculated. Next, there are Camp Sessions, which are the different weeks that your camps take place. You have the ability to specify which Camps take place in each Camp Session, and you can set the pricing for the camp by session in case you have one session with a shorter week (i.e., the 4th of July or Canada Day). Camps themselves allow you to determine capacity, days of week, and the hours that it takes place, as well as a schedule of Activities or Electives. Activities are the various things that the camper will be doing as part of the camp during the camp day. You can schedule when a camp will use the sports fields or gymnasium, when they will eat lunch, etc. You can also build in times during, before, or after the camp day for Electives. Electives are just like Activities, except that the camper can choose which elective they would like to participate in when registering. Before-Care and After-Care are electives that would take place outside of the camp day. You can choose whether or not there will be an additional charge for each Elective.

Enrolling a Participant - Enrolling campers into camps is a very easy process with our step-by-step Camp Enrollment Wizard. You start out by filtering your criteria for the camps you want to see listed. Then you pull up a family that you would like to start enrolling. You select the specific family member, select the camp or camps, then add the participant to those camps. The wizard then takes you through adding any Electives or Add-On Fees, completing any necessary Forms for the camps selected, entering the participant’s Medical and Transportation info, then collecting the fees, which are automatically adjusted to include any applicable Sibling and/or Volume discounts.

Fees can be collected a few different ways. First, you can pay the entire amount up-front by going to the standard SpectrumNG Point of Sale screen. Or, you can charge the full amount to the member’s account, if they have Charge to Account privileges. A third option would be to take a Deposit or Down-Payment up front, then creating an Installment schedule for the member, to be collected when you run the Camp Billing process. You can even enter a separate credit card to be kept on file, just for collecting these payments!

Track Your Participants and Employees - By creating the schedule of Activities and choosing the Electives when the camper registers, you are thereby creating the framework to know exactly where every camper is supposed to be at all times. This is especially handy if a parent/guardian needs to pick up their child early, or the child becomes separated from their group. When you schedule Activities and Electives, you are also reserving the time on the Resource and/or Provider’s schedule. As part of the Facility Management suite of programs, Camp Management communicates with the other scheduling modules so that you can avoid double-booking rooms and personnel. Any of these Activities and Electives will be included on your Provider’s Activity List report, so that they can easily keep track of their schedule throughout the camp season.

Online Registration - The Camp Management module will soon be available for online enrollment! We plan to make this another option in our state-of-the-art Online Services Suite, so that any member may easily enroll and pay for their children to attend any of your camps. This will follow a similar step-by-step process as is used in the in-program enrollment screen, so the parents can choose the electives and add-ons they desire. As with all of our Online Services features, Camp Management will be updated in real-time, so as soon as the enrollment is completed online that participant is listed in the Camp’s roster.
